These Terms of Service govern your access to and use of Grant Officer AI, including our website, software platform, grant matching tools, application preparation tools, document storage features, intake forms, communications, subscription services, grant readiness services, application support services, post-award support services, and related products or services.

By accessing or using Grant Officer AI, you agree to these Terms. If you do not agree, do not use the platform or services.

1. Company Role

Grant Officer AI provides software tools and optional support services to help users identify potential funding opportunities, organize documents, assess potential eligibility, prepare application materials, track deadlines, and manage grant-related workflows.

Grant Officer AI is not a government agency, funding agency, grantor, foundation, lender, law firm, accounting firm, tax advisor, financial advisor, lobbyist, broker, fiduciary, or public official.

Grant Officer AI does not make funding decisions and does not control any grantor, agency, foundation, municipality, nonprofit, lender, or funding source.

2. No Funding Guarantee

Grant Officer AI does not guarantee that you will qualify for, apply for, win, receive, retain, or be reimbursed for any grant, award, loan, contract, subsidy, incentive, or funding opportunity.

Any eligibility results, rankings, recommendations, AI-generated responses, application scores, funding estimates, or opportunity matches are informational estimates only.

Funding availability, eligibility rules, deadlines, scoring criteria, award amounts, compliance requirements, and funder decisions may change at any time without notice.

3. User Responsibility

You are solely responsible for:

  • Reviewing all grant opportunities before applying.
  • Confirming your eligibility.
  • Confirming that all deadlines, rules, application instructions, and submission requirements are current and accurate.
  • Providing truthful, complete, and accurate information.
  • Reviewing and approving all application materials before use or submission.
  • Ensuring that all statements, certifications, budgets, attachments, and supporting documents are accurate.
  • Maintaining records required by any grantor or funding source.
  • Complying with all applicable laws, regulations, grant terms, funding agreements, reporting obligations, audit requirements, and document retention requirements.
  • Determining whether Grant Officer AI’s fees are allowable under any applicable grant, award, funding agreement, approved budget, law, or regulation.

You agree not to submit false, misleading, incomplete, fabricated, altered, or unauthorized information through or with the assistance of Grant Officer AI.

4. Application Preparation and Submission

Grant Officer AI may assist with drafting, organizing, formatting, reviewing, and preparing application materials based on the information you provide.

Grant Officer AI does not automatically submit applications on your behalf.

Grant Officer AI will not submit any application on your behalf unless:

  • The applicable grant or funding program permits third-party submission or authorized representative submission.
  • You have provided all required information and documents.
  • You have reviewed and approved the final submission materials.
  • You have provided explicit authorization through the platform, by written instruction, or through another approved approval process.

Grant Officer AI is not responsible for missed deadlines, portal outages, incomplete submissions, rejected submissions, technical errors, user delays, third-party system failures, funder portal issues, incorrect user information, or any failure caused by circumstances outside Grant Officer AI’s reasonable control.

If a grant program requires the applicant, authorized officer, registered representative, executive director, owner, officer, or other authorized person to submit directly, you are solely responsible for making the final submission.

5. Fees and Payment

Grant Officer AI may charge one or more of the following fees:

  • Platform subscription fees.
  • Grant matching subscription fees.
  • Grant readiness assessment fees.
  • Document preparation fees.
  • Application preparation fees.
  • Grant strategy retainer fees.
  • Compliance support fees.
  • Reporting support fees.
  • Post-award administration fees.
  • Grant lifecycle management fees.
  • Other flat, fixed, hourly, monthly, or service-based fees disclosed at purchase or in a signed agreement.

Grant Officer AI does not charge a percentage of any government grant award.

Grant Officer AI does not charge commissions, finder’s fees, or percentage-based compensation for government grant awards.

Grant Officer AI’s fees are compensation for software access, research, document management, application preparation support, grant readiness support, compliance support, reporting support, and related services.

Unless expressly permitted in writing by the applicable grantor, agency, funding agreement, approved budget, law, or regulation, you may not pay Grant Officer AI fees from restricted grant funds.

You are solely responsible for determining whether any fee paid to Grant Officer AI is allowable, reimbursable, chargeable, or budgetable under any applicable grant program.

Grant Officer AI may suspend or terminate access for nonpayment.

Subscription fees are generally non-refundable unless otherwise stated in a written agreement or required by law.

6. No Success Fee or Award Percentage

Grant Officer AI’s business model is based on subscriptions, flat fees, retainers, application preparation fees, and post-award support fees.

Grant Officer AI does not guarantee funding and does not earn a fee merely because a customer receives an award.

Any post-award services are separate services tied to actual work performed after an award, such as reporting support, compliance tracking, reimbursement support, documentation management, milestone tracking, budget tracking, and audit preparation support.

Post-award services are not a commission, success fee, finder’s fee, or percentage of the award.

7. No Legal, Tax, Accounting, Financial, or Compliance Advice

Grant Officer AI provides software and business support services only.

No content, tool, template, recommendation, AI-generated output, document, communication, or service provided by Grant Officer AI constitutes legal, tax, accounting, financial, audit, procurement, lobbying, or compliance advice.

You should consult qualified professionals before:

  • Submitting an application.
  • Signing a grant agreement.
  • Accepting a grant award.
  • Using grant funds.
  • Charging expenses to a grant.
  • Determining whether fees are allowable.
  • Making tax, accounting, legal, or financial decisions.
  • Responding to audits, investigations, government inquiries, or funder requests.

8. User Content and Uploaded Documents

You may upload business information, financial information, tax documents, ownership information, certifications, budgets, statements, narratives, identification materials, supporting records, and other documents.

You retain ownership of the documents and information you upload.

You grant Grant Officer AI a limited right to use your uploaded information and documents solely to provide, operate, improve, secure, and support the platform and services.

You represent that you have the legal right to upload and use all information and documents provided to Grant Officer AI.

You agree not to upload information that you do not have authority to use.

9. AI-Generated Content

Grant Officer AI may use artificial intelligence, automation, algorithms, or third-party technology to assist with grant matching, drafting, summarization, document organization, eligibility review, application preparation, and workflow support.

AI-generated content may be incomplete, inaccurate, outdated, or unsuitable for a particular grant.

You are responsible for reviewing, editing, verifying, and approving all AI-generated content before it is used or submitted.

Grant Officer AI is not responsible for errors or omissions in AI-generated content that you approve, use, or submit.

10. Third-Party Sources and Portals

Grant Officer AI may rely on third-party websites, grant portals, government websites, foundation websites, public databases, APIs, software providers, payment processors, cloud providers, AI providers, and other third-party services.

Grant Officer AI is not responsible for the availability, accuracy, security, rules, policies, actions, omissions, or decisions of third parties.

Your use of third-party portals or services may be governed by separate terms and privacy policies.

11. Account Security

You are responsible for maintaining the confidentiality of your login credentials and account access.

You are responsible for all activity under your account.

You must notify Grant Officer AI promptly if you believe your account has been accessed without authorization.

Grant Officer AI may suspend or terminate accounts that appear fraudulent, abusive, unauthorized, noncompliant, or risky.

12. Prohibited Uses

You may not use Grant Officer AI to:

  • Submit false, misleading, fraudulent, or unauthorized information.
  • Impersonate another person, business, nonprofit, government agency, or authorized representative.
  • Upload documents you do not have permission to use.
  • Violate grant rules, laws, regulations, funder policies, or platform rules.
  • Misrepresent eligibility, ownership, revenue, expenses, certifications, employee counts, location, minority status, veteran status, nonprofit status, tax status, or other qualification criteria.
  • Use the platform for unlawful, deceptive, abusive, or fraudulent purposes.
  • Reverse engineer, scrape, attack, overload, or interfere with the platform.
  • Attempt to access another user’s account, documents, or data.
  • Use Grant Officer AI to provide competing services without written permission.

13. Compliance With Grant Rules

You acknowledge that each grant, award, funding opportunity, and funding source may have different rules.

You are solely responsible for reviewing and complying with all applicable rules, including eligibility requirements, cost allowability rules, procurement rules, conflict-of-interest rules, lobbying restrictions, reporting obligations, audit obligations, recordkeeping requirements, and restrictions on use of funds.

Grant Officer AI is not responsible for any denial, rejection, disallowance, repayment demand, audit finding, penalty, suspension, debarment, investigation, or other consequence resulting from your application, award, use of funds, or failure to comply with applicable requirements.

14. Limitation of Liability

To the maximum extent permitted by law, Grant Officer AI and its owners, officers, employees, contractors, partners, vendors, affiliates, and agents will not be liable for indirect, incidental, consequential, special, exemplary, punitive, lost-profit, lost-revenue, lost-opportunity, lost-funding, lost-data, business-interruption, reputational, audit, regulatory, or grant-related damages.

To the maximum extent permitted by law, Grant Officer AI’s total liability for any claim arising out of or related to the platform or services will not exceed the amount you paid to Grant Officer AI during the three months before the event giving rise to the claim.

Some jurisdictions do not allow certain limitations of liability, so some limitations may not apply to you.

15. Indemnification

You agree to defend, indemnify, and hold harmless Grant Officer AI and its owners, officers, employees, contractors, partners, vendors, affiliates, and agents from and against any claims, damages, losses, liabilities, penalties, fines, costs, expenses, attorney’s fees, audit findings, reimbursement demands, investigations, or disputes arising out of or related to:

  • Information you provide.
  • Documents you upload.
  • Applications you approve, use, or submit.
  • Your eligibility representations.
  • Your use of grant funds.
  • Your violation of grant rules, laws, regulations, funder requirements, or these Terms.
  • Your misuse of the platform.
  • Your infringement or misuse of another party’s rights, data, documents, or credentials.

16. Termination

Grant Officer AI may suspend or terminate your access if you violate these Terms, fail to pay fees, misuse the platform, submit suspicious information, create legal or security risk, or use the platform in a way that may harm Grant Officer AI, other users, funders, or third parties.

You may cancel your account according to the cancellation process provided by Grant Officer AI.

Certain provisions, including payment obligations, disclaimers, limitation of liability, indemnification, intellectual property rights, privacy obligations, and dispute provisions, will survive termination.

17. Intellectual Property

Grant Officer AI owns or licenses the platform, software, workflows, templates, designs, processes, prompts, tools, branding, content, and technology used to provide the services.

You may not copy, resell, reproduce, distribute, modify, reverse engineer, or create derivative works from Grant Officer AI materials without written permission.

You retain ownership of your own uploaded documents and user content.

18. Dispute Resolution

Any dispute arising out of or related to Grant Officer AI, the platform, services, fees, or these Terms will first be addressed through good-faith informal resolution.

If the dispute is not resolved informally, the parties agree to resolve the dispute through binding arbitration, unless prohibited by law or unless Grant Officer AI elects to pursue claims in small claims court or seek injunctive relief for misuse of the platform, intellectual property, confidential information, or data.

The governing law and venue shall be the State of [Insert State], without regard to conflict-of-law rules.

Class actions, class arbitrations, and representative actions are waived to the maximum extent permitted by law.

19. Changes to These Terms

Grant Officer AI may update these Terms from time to time. Updated Terms will be posted on the website with a new effective date.

Continued use of the platform after updated Terms are posted means you accept the updated Terms.
